Forum Mission
The mission of the Latino Policy Forum is to build the power, influence, and leadership of the Latino community through collective action to transform public policies that ensure the well-being of its community and society as a whole. Through advocacy and analysis, the Forum builds a foundation for equity, justice, and economic prosperity for the Latino community. By catalyzing policy change, the Forum works to improve education outcomes, advocate for affordable housing, promote just immigration policies and strengthen community leadership.
Position Summary
The Forum seeks an executive coordinator to provide high-level support to the executive team, including the President & CEO and Associate Director of Operations. Key responsibilities include managing organizational projects, assist with implementing internal policies and procedures, coordinating meetings and schedules, handling confidential information, and facilitating communication between departments, board members, and external stakeholders. The coordinator will assist with project management, event planning, and other initiatives as relevant to the role. The role requires strong organizational, communication, and problem-solving skills, as well as the ability to manage multiple priorities and work independently in a busy mission-driven environment.
Responsibilities
Project Management
- Coordinate special projects, from planning to implementation, ensuring they are completed on time and within budget
- Support the planning and logistics of events, board meetings, and other key gatherings, including managing invites, RSVPs, and materials
- Coordinate and prioritize President & CEO’s day-to-day responsibilities, mainly calendaring
Relationship Management
- Internal engagement across the organization and with key external stakeholders
- Cultivate relationships by scheduling meetings with potential individual, corporate, foundation donors and other external relations; assisting with any follow-up
Research & Presentations
- Research and provide background information in preparation for President & CEO’s meetings, staff meetings, board meetings, etc.
- Conduct research to help strengthen organizational effectiveness and efficiency (software, programs, vendors) and provide recommendations
- Prepare for presentations and speaking engagements as directed
Administrative
- Support in maintaining institutional knowledge
- Assist with board-related activities, including drafting agendas, preparing informational packets, copying, notetaking, scheduling meetings, and attending meetings as needed
- Support with updates/maintenance of agency files, manuals, organizational calendar, and staff directory
- Organize and maintain files, records, and databases, ensuring data integrity and accessibility.
- Prepare and submit executives’ reports including timesheets, time off requests, board reports, check requests, and expense reports in a timely manner
- Coordinate travel and lodging for President & CEO for any out-of-town engagements
- Maintain office inventory, by ordering materials and office supplies
- Welcome guests, in-person or on the telephone; answering or directing inquiries
- Other duties as assigned
Qualifications
- BA preferred but not required.
- Minimum two year’s work experience.
- Exhibit tact and discretion at all times.
Competencies
- Superior communications, interpersonal, writing, organizing, scheduling, presentation, project management, and problem-solving skills.
- Takes initiative and is able to work independently.
- Expertise with Microsoft Office programs, IT skills a plus.
- Bilingual – English/Spanish a plus
- Nonprofit or work in the Latino community a plus.
Physical Requirements
Must be able to perform essential duties satisfactorily with reasonable accommodations. Work is generally done sitting, talking, hearing, and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
Work Environment
Work is regularly performed in a professional office environment and routinely uses standard office equipment. This Forum is on a hybrid schedule – three days in the office, two days remote.
Compensation and Benefits
Starting salary $45,000, commensurate with education and experience.
